You can import companies into VisionFlow from an existing .csv-file or an Excel file (.xls or .xlsx), we normally recommend the Excel file format


Open the Action-menu and select "Import Company Data"

This opens a dialog where you can directly upload an existing fíle (.csv, .xls or .xlsx), or download a sample file that can be used as a template for you to fill in with relevant company data. Download it, enter the data, save and then upload it in this dialog again. 


The best way to perform the import is to download the sample data file and then make sure that the file that contains the users that you would like to import has the same format.


Formatting of the sample import file: 

The first two rows of the sample file contains the names of the company fields:

  • The first row contains the names you see (for example, if you use a language other than English).
  • The second row contains the "Internal" name of the field for the purposes of the import function. This must be an exact match to the value in the sample file.

  • An existing company can be updated with values from the import (This only imports actual values, you cannot clear fields by leaving them blank in the import file) in some cases, when the imported company matches an existing one:
    • If an imported company has the same customerNumber as an existing company (In this case the company name can be updated - this is a way to rename companies)
    • If the customNumber is blank, but the customerName in the import is the same as an existing company
    • Note: if you import a company with a customerNumber while an existing one (with same name) does not have a customerNumber, this will create a separate new company with the same name.


  • When importing from .csv-files, you need to think about a couple of things:
    • Make sure the encoding is UTF-8. Using another encoding like Dos/Windows ANSI, will mess up any national characters not present in english (diacritics, umlauts etc..).
    • Ensure that the file is a plain text file with the .csv extension. Microsoft Excel sometime inserts invisible control characters when saving in its own csv-format, so make sure that you export any excel file to plain csv.


  • Make sure you use the correct names of the column headers in the imported file. These are the standard field names in the import (custom fields are also importable):    
    • customerName - name of the company. Mandatory.
    • customerNumber - the customer number of the company as shown in the General > Companies page
    • accountManager - the manager on the company
    • entityStatus - the status of the company. If none is set, this is set to the first active status (Companies must have a status). Standard statuses are Active and Inactive, but more can be defined in General > Settings > Company settings > Company Statuses.
    • customerType - the type of the company. Company types can be defined in General > Settings > Company settings > Company Types.
    • address1 - first row of the address field
    • address2 -second row of the address field.
    • state - the state (only applicable for some addresses)
    • zipCode - the zip code (or similar postal code)
    • city - the city
    • phone - the phone number for the company
    • faxNumber - a fax number. 
    • emailAddress - the email address of the company
    • webAddress - the URL to the company website
    • contactPerson - The name of the person you're dealing with when contacting the company
    • country - the country/nation that the company is from
    • info - Informative text that should be imported to the Notes subtab on the company.
    • domainMappings - any email domains that are to be associated with this company.
    • createDate - if this is set, and in the past - then this will be set as the create date on the company. If it is not set, the time of the import will be set as the creation date.
    • modifiedDate - this will be set to the time of import 


  • Importing other fields not explicitly mentioned: Create a custom field on Company, and make sure the column in the import file has the same name, and that the values make sense. The values in those fields should also make sense (i.e conform to the allowed values for the field, if any).  


Note: We do not recommend import of more than 2000 objects at a time since that slows the system down. If more objects needs to be imported divide them into groups of a maximum of 2000 and then add more groups once the first is imported.


Knowledge Base Images/Icons/24x24/sign_warning.png  Warning: Currently it is not a good idea to just make an export of Companies to .csv from the companies page, and to use that as basis for the import file.

  • The exported csv file is comma-separated and the columns have the same names as the fields shown on Company (which may have been customized in settings, or be in another language - which the system currently cannot handle.).
  • Exporting to an Excel file has the same problem regarding the names of the company fields.
  • The real sample import file available in the import dialog is semicolon separated and have the column names shown above.
